An HRMS system can help save a lot of time by tracking attendance and leave accruals. This information can be tracked manually or in an excel spreadsheet. I’ve seen it on more than one occasion. Attendance tracking and leave accruals are two of my favorite topics during meetings.

Please understand that the information I am presenting here is a typical HRIS system or HRMS systems attendance tracking capabilities. It does not include absolute capabilities. All of the systems I looked at allow you to track multiple attendance calculations, using either an accrual or a lump sum method that is based on years of experience. Employees who reach seniority are automatically bumped up to higher accrual rates or lump sum rates. You can set maximum accrual amounts or carryover limits. You can set up absence reason codes to track attendance more precisely. You could, for example, set up ‘vacation request’ as the sole reason to track a vacation plan. However, you might want to keep track of any unscheduled or other types leave that your company takes. You will be able to report more accurately the more information you give up front.

If your HRIS system has an integrated payroll option, you will likely be able to show the vacation balances of employees or direct deposit advice. This option may not be available if you interface to an external payroll application. This capability may not be possible if you’re interfacing with an external payroll application. You may be able to add additional attendance capabilities to your HRIS system if you have an employee self-service application. Managers and employees should have the ability to view employee attendance balances, and the history of time taken. Some systems allow employees to request time off, and their managers can approve or deny the request. My experience shows that attendance tracking reporting requirements are quite standard. The systems I have worked with have made it easy for me to use standard reports. These could include employee time off balances and absence reasons by job code, department or location. You may also be able to view calendar views reports in some systems.

If you don’t have an independent HR application that doesn’t include time collection or payroll, it is unlikely that the system will keep track of hours worked. This field is required to track attendance accruals. Employees’ accrual and lump sum rates will be based on hours worked. You might consider tracking accrual rates and lump sum rates based on hours worked. If not, it is worth checking if your time collection or payroll system has this capability.

Vacation plans that are not standard

You may have difficulty finding an HRIS system that can track your plan if it falls outside the standard accrual or lump sum plans. Before you make your HRIS choice, be sure to review your plan details with the HRIS vendors that you are considering. You may need to create a custom application to track your plan if you cannot find one. The attendance tracking systems I reviewed do not allow for the tracking of all the unique attendance plans that companies may have. This issue should be addressed with each vendor as part of your needs assessment.
